Job Description

Primary Function

  • Provides administrative support to senior management

 

Major Responsibilities and duties

  • Works with Executive Administrative/Office Manager to provide back up support on various administrative duties and office wide projects
  • Schedules meetings and maintains conference room reservations, including technical and catering support
  • Coordinates the scheduling of interviews with HR, hiring managers and recruiters
  • Maintains/updates all candidates interview schedules ensuring high degree of candidate care and confidentiality at all times
  • Provides receptionist support as needed, answers, screens and directs calls, meets and greets all visitors; determines their needs and directs them to the appropriate conference rooms in a courteous manner
  • Prepares and forwards outgoing mail and packages
  • Orders and maintains office supplies, arranges for equipment maintenance, and keeps reception area organized
  • Helps to process expense reports

 

Qualifications and Education Requirements

  • College degree and Pharma Industry experience preferred, 3-5 years related experience
  • Excellent verbal and written communication skills
  • Proficient on Microsoft Outlook, Word, Excel, required for position
  • Ability to work independently and under direction
  • Good organization skills
  • Team player
  • Professional appearance and demeanor
  • Ability to multi-task
