Job Description
Primary Function
- Provides administrative support to senior management
Major Responsibilities and duties
- Works with Executive Administrative/Office Manager to provide back up support on various administrative duties and office wide projects
- Schedules meetings and maintains conference room reservations, including technical and catering support
- Coordinates the scheduling of interviews with HR, hiring managers and recruiters
- Maintains/updates all candidates interview schedules ensuring high degree of candidate care and confidentiality at all times
- Provides receptionist support as needed, answers, screens and directs calls, meets and greets all visitors; determines their needs and directs them to the appropriate conference rooms in a courteous manner
- Prepares and forwards outgoing mail and packages
- Orders and maintains office supplies, arranges for equipment maintenance, and keeps reception area organized
- Helps to process expense reports
Qualifications and Education Requirements
- College degree and Pharma Industry experience preferred, 3-5 years related experience
- Excellent verbal and written communication skills
- Proficient on Microsoft Outlook, Word, Excel, required for position
- Ability to work independently and under direction
- Good organization skills
- Team player
- Professional appearance and demeanor
- Ability to multi-task
